Use the structure, not a mail merge
Personalise the reason before you send the request.
Replace every bracketed placeholder and mention the real moment that prompted the message. A short specific note is more respectful than a polished bulk email. Tell the customer what you are asking for, where it may appear and how long the response is likely to take.
Replace [Collection link] with a direct form or your TestiFollow project’s public collection URL. Do not ask the customer to submit the same story in several places.

These are starting points. Adjust the tone to match the relationship and remove any sentence that is not true.
Short general request
Subject: A quick question about your experience
Hi [First name], Thank you for working with [Business]. Would you be comfortable sharing a short testimonial about your experience? Three or four sentences are plenty. You can use this link: [Collection link] We may publish your response on our website, but nothing will be used without your permission. Thank you, [Your name]
Post-project request
Subject: Could you share a few words about [Project]?
Hi [First name], Now that [Project] has been delivered and approved, I would value your perspective on the process. Would you share what you needed, what stood out while we worked together, and what the finished work means for you? You can respond here: [Collection link] The form also asks for permission before anything is displayed publicly. Best, [Your name]
SaaS customer request
Subject: How is [Product] fitting into your workflow?
Hi [First name], Your team has now completed [onboarding milestone]. Would you be willing to share a short account of how [Product] fits into your work? Useful details might include what you were doing before, which part you use most, and what a normal day looks like now. You might mention the challenge at the start, how the collaboration felt, and which part of the outcome matters most to your team. Consent and publishing confirmation

Very short message or DM
Hi [First name] — thanks again for [specific win]. Would you be comfortable sharing two or three sentences about the experience? Here is one short form: [Collection link]. It explains how the testimonial may be used and asks for your consent.
One useful follow-up is enough.
Send a reminder only if the relationship and timing make it appropriate. Keep the original context, repeat the same link and make opting out easy. Do not turn a testimonial request into a sequence of pressure messages.
- Do not imply the customer owes you praise.
- Do not pre-fill an outcome they did not state.
- Do not offer a reward that depends on positive wording.
- Do not publish an email reply without confirming consent.
Route every response through review.
When a customer submits through TestiFollow, the testimonial starts as Pending. You can review the name, rating, written response and publication consent before approving or rejecting it. Learn more about the moderation workflow.
